Position Overview:
We are seeking a detail-oriented and proactive Safety Administrator to join our team. This position is key in maintaining our company’s safety standards and compliance with federal, state, and local regulations. The Safety Administrator will be responsible for daily, weekly, monthly, and annual safety report reconciliation, documentation control, incident tracking, and timely completion of safety audits and reports.
This job description outlines the primary responsibilities and qualifications for the Safety Administrator role, which is essential to ensuring our projects' safety and regulatory compliance. The ideal candidate will be highly organized, experienced in safety administration, and committed to promoting a safety culture across the organization.
Key Responsibilities:
- Loss Report Reconciliation: Review, reconcile, and maintain daily, weekly, and monthly loss reports to track incidents, near misses, and accidents. Ensure accurate reporting and documentation for safety metrics and provide regular updates to management.
- Safety Incident Audits: Conduct monthly safety audits within the company’s safety software, ensuring all incidents are properly documented and categorized. Identify trends and assist in corrective actions to improve safety performance.
- File Management & Document Control: Organize and maintain safety files and documentation, ensuring all safety-related records are properly filed, archived, and easily accessible. Ensure compliance with all record retention requirements.
- Cal/OSHA Erection Permits: Ensure timely filing and renewal of Cal/OSHA permits for steel erection projects. Track expiration dates and assist with compliance to ensure the company meets all legal requirements.
- Pre-Qualification Requests: Assist with preparing and submitting pre-qualification requests for potential projects, including safety documentation, worker safety training, and any necessary certifications.
- Print Orders & Safety Supplies: Manage the ordering and distribution of safety-related documents, signage, and supplies. Ensure safety materials are up to date and readily available for all projects.
- Annual OSHA 300 Logs: Maintain and update the annual OSHA 300 Logs, ensuring accurate and timely reporting of workplace injuries and illnesses. Coordinate with HR, payroll, and project management to gather necessary log information.
- Weekly Safety Reports: Distribute weekly safety performance reports to the management team and relevant stakeholders. Ensure reports are comprehensive and reflect accurate safety data for ongoing projects.
- Overdue Inspections: Track and follow up on overdue safety inspections, ensuring that all equipment, tools, and work areas are inspected on schedule. Collaborate with safety managers and regional safety managers to ensure timely resolution.
- Workers’ Compensation Claim Reviews: Review and track workers’ compensation claims, ensuring proper documentation is completed and filed. Work with safety managers, safety directors, and insurance carriers to monitor the status of claims and assist in resolving any issues.
Qualifications:
- Education: A high school diploma or equivalent is required. A degree in Occupational Safety, Environmental Health, or a related field is a plus.
- Experience: Minimum of 2 years of experience in safety administration, preferably in the construction, fabrication, or steel erection industry. Experience with OSHA regulations and safety software is highly desirable.
- Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook). Experience with safety management software (e.g., ISNetworld, Procore, etc.) is a plus.
- Knowledge: Familiarity with Cal/OSHA regulations, workers’ compensation processes, and OSHA reporting requirements (e.g., OSHA 300 Logs). Understanding safety management practices and incident reporting procedures is essential.
- Communication Skills: Strong written and verbal communication skills, with the ability to interact effectively with employees at all levels of the organization.
- Organizational Skills: Strong attention to detail and the ability to prioritize tasks in a fast-paced environment. Must be highly organized and able to manage multiple projects simultaneously.
- Certifications (preferred but not required): OSHA 30-Hour Construction Safety certification or similar safety certifications are preferred; Workers Compensation Professional (WCP); Workers Compensation Specialist; Certified Workers’ Compensation Healthcare Provider (CWcHP); Certified Compensation Professional (CCP); Construction Risk and Insurance Specialist (CRIS)
Physical Requirements:
- Ability to sit, stand, or walk for extended periods of time.
- Ability to lift and carry up to 25 pounds as needed (e.g., files, safety materials).
- Occasional field visits may be required to conduct audits or inspections on job sites.
